Virtual Assistant / Executive Assistant

Provide high-level administrative and operational support to senior stakeholders, ensuring efficient coordination and execution of daily tasks.

We are looking for a Virtual Assistant / Executive Assistant to support senior stakeholders with administrative, organisational, and coordination tasks across the business. This role is critical in ensuring that day-to-day operations, communications, and scheduling are handled efficiently and professionally.

This role suits someone who is highly organised, proactive, and comfortable working in a fast-paced environment with competing priorities. You will act as a trusted support resource, helping to manage schedules, communications, and operational workflows while maintaining a high level of accuracy and professionalism.

Responsibilities

  • Manage calendars, schedules, and appointments, ensuring effective prioritisation of tasks
  • Coordinate meetings, including scheduling, preparing agendas, and ensuring materials are ready
  • Handle email management, including drafting responses and organising inboxes
  • Prepare reports, presentations, and documentation to support business operations
  • Conduct research and data gathering to support projects and initiatives
  • Track tasks, deadlines, and follow-ups to ensure timely completion
  • Support internal coordination across teams and stakeholders
  • Maintain accurate records and documentation
  • Assist in improving administrative workflows and processes

Requirements

  • At least 3–5 years of experience as a Virtual Assistant, Executive Assistant, or similar role
  • Strong written and verbal English communication skills
  • Ability to manage multiple tasks and priorities simultaneously
  • Highly organised with strong attention to detail
  • Proficiency in Google Workspace, Microsoft Office, and communication tools
  • Comfortable working remotely with high responsiveness and accountability

Preferred attributes (optional)

  • Experience supporting founders, directors, or senior business leaders
  • Exposure to Australian or US-based clients and working across time zones
  • Strong coordination and stakeholder management skills
  • Experience working in consulting, outsourcing, or professional services environments
